Training is officer twice a year, and the sessions are already on the District Calendar.
DISTRICT CALENDAR
Handover Tasks
At the beginning of each Toastmasters year, a few handover tasks make the transition to new club officers go smoothly.
- Old and new officers meet: Incoming officers meet with outgoing officers to understand processes, challenges, and opportunities for the new Toastmasters year.
- Update signatories: Work with the club’s bank to update the authorized signers on the club’s checking account (usually the Treasurer and President).
- Update your club Freetoasthost site: Use this helpful Officer Changeover checklist.
- Transfer digital access: Hand over master passwords, administrative rights, and account access — including the club website, Zoom accounts, and social media pages (Facebook, Instagram, LinkedIn).
- Transfer physical materials: Pass on the club banner, gavel, timing lights, name badges, and any physical files or manuals to the incoming Sergeant at Arms and Secretary.
Specific Tasks for Each Officer Role
PRESIDENT
Schedule the first Executive Committee meeting to finalize the annual/semi-annual Club Success Plan.
VPE — VICE PRESIDENT EDUCATION
Review pending Pathways progress in Base Camp and meet with members to set their personal goals.
VPM — VICE PRESIDENT MEMBERSHIP
Obtain the current guest roster and plan how to follow up with guests.
VPPR — VICE PRESIDENT PUBLIC RELATIONS
Review the club’s website and social media and plan updates.
TREASURER
Create the new budget, close out previous financial records for an internal audit, and prepare for upcoming semi-annual dues collection.
SECRETARY
Gather historical meeting minutes and organize archives.
SERGEANT-AT-ARMS
Gain access to the club’s physical materials, including the club banner. Learn how to reserve meeting rooms and set up video access for hybrid or virtual meetings.
